These Terms and Conditions govern the use of the Aurora Wildlife Uganda website and the booking of tours, safaris, accommodation, transportation, permits, activities and other travel services arranged by Aurora Wildlife Uganda (“Aurora Wildlife Uganda”, “we”, “us” or “our”).
By making an enquiry, accepting a quotation, making a payment or confirming a booking with us, you acknowledge that you have read, understood and agreed to these Terms and Conditions.
1. OUR SERVICES
Aurora Wildlife Uganda is a Uganda-based tour operator arranging and coordinating travel experiences including wildlife safaris, gorilla trekking, chimpanzee trekking, birdwatching, cultural experiences, adventure activities, accommodation and related travel services.
We may provide services directly or arrange services through independent third-party suppliers, including accommodation providers, transport companies, guides, airlines, activity providers, national parks and other tourism service providers.
2. ENQUIRIES, QUOTATIONS AND BOOKINGS
All safari itineraries and quotations are prepared according to the information available at the time of enquiry.
A quotation is not a confirmed booking until the required deposit or payment has been received and Aurora Wildlife Uganda has issued written confirmation.
Prices quoted are based on the itinerary, number of travelers, accommodation category, activities, transportation arrangements, exchange rates and other conditions specified in the quotation.
We reserve the right to amend a quotation before confirmation if there is a significant change in supplier prices, permit costs, taxes, exchange rates or other compulsory charges.
3. PAYMENT
The required deposit and payment schedule will be clearly stated in the quotation or booking confirmation.
The balance must be paid by the deadline specified in the booking confirmation. Bookings made close to the date of travel may require full payment at the time of confirmation.
Failure to make payment by the agreed deadline may result in the cancellation or release of reservations, permits, accommodation or other services.
Any bank charges, transfer fees, payment processing charges or other transaction costs, where applicable, may be payable by the client.
4. GORILLA AND CHIMPANZEE PERMITS
Gorilla and chimpanzee trekking permits are subject to availability and the rules and conditions of the relevant authorities.
Where Aurora Wildlife Uganda purchases permits on behalf of a client, the client acknowledges that these permits are subject to the applicable authority’s cancellation, transfer and refund policies.
Permit availability is not guaranteed until payment has been received and the permit has been successfully secured.
Changes to trekking dates or permit details may be subject to availability and additional charges.
5. CANCELLATION BY THE CLIENT
All cancellation requests must be submitted to Aurora Wildlife Uganda in writing.
Cancellation charges will depend on the date the cancellation is received, the terms of the booking, and the amounts already committed to third-party suppliers.
Certain services—including permits, accommodation deposits, transportation, flights and other prepaid services—may be non-refundable or subject to supplier-specific cancellation charges.
The applicable cancellation and refund conditions will be communicated to the client as part of the quotation or booking confirmation.
6. CANCELLATION OR CHANGES BY AURORA WILDLIFE UGANDA
Although we make every reasonable effort to operate trips as confirmed, circumstances beyond our control may require an itinerary, accommodation, activity or transportation arrangement to be changed.
Where reasonably possible, Aurora Wildlife Uganda will provide an alternative arrangement of a similar standard and value.
If an alternative arrangement cannot reasonably be provided, any refund will be considered in accordance with the applicable supplier terms and the amount actually recoverable by Aurora Wildlife Uganda.
7. FORCE MAJEURE
Aurora Wildlife Uganda shall not be liable for failure, delay or alteration of services caused by circumstances beyond our reasonable control.
Such circumstances may include, but are not limited to, extreme weather, natural disasters, floods, epidemics or pandemics, fire, political unrest, civil disturbance, government restrictions, road closures, wildlife-related incidents, strikes, technical failures, border restrictions or other unforeseeable events.
We will make reasonable efforts to assist affected clients and reorganize services where practical.
8. ITINERARY CHANGES
Safari itineraries may occasionally require adjustments because of road conditions, weather, wildlife movements, park regulations, accommodation availability, operational considerations or other circumstances.
The sequence of activities may therefore change without materially affecting the overall safari experience.
Wildlife sightings are naturally unpredictable. Aurora Wildlife Uganda does not guarantee sightings of particular animals, including gorillas, chimpanzees, lions, leopards, elephants or shoebill storks.
9. ACCOMMODATION
Accommodation is provided according to the category and property specified in the confirmed itinerary.
Where a specified property becomes unavailable, Aurora Wildlife Uganda may provide alternative accommodation of a similar standard.
Room allocation, check-in and check-out times, meal arrangements and other accommodation conditions are subject to the policies of the individual property.
Special requests, including specific rooms, dietary requirements, adjoining rooms and accessibility arrangements, are subject to availability and cannot always be guaranteed.
10. TRANSPORTATION
Transportation arrangements will be provided as specified in the confirmed itinerary.
Travel times shown in itineraries are estimates and may vary because of road conditions, traffic, weather, border procedures, wildlife activities and other circumstances.
Clients are expected to follow reasonable instructions given by their driver, guide or tour representative regarding safety and vehicle procedures.
11. CLIENT RESPONSIBILITIES
Clients are responsible for:
– Providing accurate personal and passport information.
– Ensuring that passports remain valid for the required period.
– Obtaining the appropriate visas and travel documentation.
– Meeting applicable vaccination, health and entry requirements.
– Arriving at agreed departure points on time.
– Informing Aurora Wildlife Uganda of relevant dietary, mobility or other special requirements before travel.
– Respecting local laws, customs, communities, wildlife and conservation regulations.
– Following reasonable safety instructions from guides, drivers and activity providers.
– Taking reasonable care of personal belongings and property.
Failure to disclose important information that materially affects the safari may result in additional costs or changes to the itinerary.
12. PASSPORTS, VISAS AND TRAVEL DOCUMENTS
Clients are responsible for ensuring that they possess valid passports, visas, permits, travel insurance and other documents required for their journey.
Aurora Wildlife Uganda may provide general guidance regarding visa and entry requirements, but clients remain responsible for verifying the requirements applicable to their nationality and circumstances before travel.
We accept no responsibility for denied boarding, denied entry or travel disruption resulting from incorrect, incomplete or expired documentation.
13. TRAVEL INSURANCE
Comprehensive travel insurance is strongly recommended for all clients.
Insurance should, where appropriate, cover medical expenses, emergency evacuation, trip cancellation or interruption, baggage loss or delay, personal liability and other risks associated with international travel and safari activities.
Aurora Wildlife Uganda is not an insurance provider and cannot be responsible for losses that should reasonably be covered by the client’s travel insurance.
14. HEALTH, FITNESS AND ADVENTURE ACTIVITIES
Some Uganda safari activities involve physical exertion, uneven terrain, long journeys, changing weather conditions and remote environments.
Clients are responsible for determining whether they are physically capable of participating in planned activities.
Activities such as gorilla trekking, chimpanzee trekking, hiking, rafting, bungee jumping and other adventure experiences may have additional safety requirements and supplier-specific terms.
Clients must follow all safety instructions issued by qualified guides, operators and authorities.
15. PERSONAL BELONGINGS
Clients are responsible for their personal belongings throughout the journey.
Aurora Wildlife Uganda will take reasonable care in arranging transportation and accommodation but cannot accept responsibility for loss, theft or damage to personal property unless caused by our proven negligence or as otherwise required by applicable law.
16. THIRD-PARTY SUPPLIERS
Many services included in a safari are provided by independent third parties.
These may include accommodation providers, airlines, transport companies, activity operators, restaurants, park authorities and other tourism service providers.
While Aurora Wildlife Uganda carefully selects and coordinates suppliers, their services may be subject to their own terms, conditions and operational limitations.
17. PRICES AND INCLUDED SERVICES
The services included in the safari will be clearly stated in the client’s quotation or confirmed itinerary.
Unless expressly stated as included, the following may be excluded:
– International flights
– Visa fees
– Travel insurance
– Personal expenses
– Alcoholic and other personal beverages
– Tips and gratuities
– Laundry
– Optional activities
– Additional accommodation resulting from early arrival or late departure
– Expenses resulting from personal changes to the itinerary
– Other services not specifically listed as included
Government taxes, park fees, permits and other compulsory charges will be communicated as applicable to the booking.
18. RESPONSIBLE AND SUSTAINABLE TRAVEL
Aurora Wildlife Uganda encourages responsible tourism that respects Uganda’s wildlife, environment, communities and cultural heritage.
Clients are expected to follow national park regulations, wildlife-viewing guidelines and local cultural protocols.
Wildlife must never be fed, harassed or approached outside permitted conditions.
19. PHOTOGRAPHY AND CONTENT
Clients are responsible for obtaining appropriate consent before photographing or recording individuals, particularly local community members and children.
Aurora Wildlife Uganda may request permission to use photographs or testimonials voluntarily provided by clients for legitimate marketing purposes. Such use will be subject to applicable privacy and consent requirements.
20. LIABILITY
Aurora Wildlife Uganda will exercise reasonable care and skill in arranging the services described in the confirmed booking.
However, we cannot accept responsibility for losses, delays, injuries, illness, accidents or additional expenses arising from circumstances beyond our reasonable control or from the acts or omissions of independent third-party suppliers, except where liability cannot lawfully be excluded.
Nothing in these Terms and Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.
21. COMPLAINTS
If a client experiences a problem during a safari, the matter should be reported to the Aurora Wildlife Uganda representative or relevant service provider as soon as reasonably possible.
Early notification gives us the opportunity to investigate and resolve the issue while the client is still travelling.
If the matter cannot be resolved during the trip, a formal complaint should be submitted to Aurora Wildlife Uganda in writing within a reasonable period after completion of the trip.
22. WEBSITE INFORMATION
We make reasonable efforts to ensure that information published on our website is accurate and current.
However, descriptions, photographs, maps, prices, availability and other information may change and may not always reflect temporary or seasonal conditions.
Website content should not be considered a contractual guarantee unless expressly incorporated into a confirmed quotation or booking.
23. PRIVACY
Personal information supplied by clients will be handled in accordance with Aurora Wildlife Uganda’s Privacy Policy and applicable data-protection requirements.
Information may need to be shared with relevant suppliers where necessary to provide the services booked by the client.
24. GOVERNING LAW
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of Uganda.
Any dispute arising from a booking or service shall first be addressed through good-faith communication and reasonable efforts to reach an amicable resolution before formal legal proceedings are considered.
25. CHANGES TO THESE TERMS
Aurora Wildlife Uganda reserves the right to update these Terms and Conditions from time to time.
The version applicable to a confirmed booking will be the version accepted by the client at the time of booking, unless a subsequent change is required by law or expressly agreed by both parties.
